Management Services

Maintenance
- Inspections and On Site Visits – Cedar Management staff will make regular site visits to observe activities, discuss problems, supervise contractors and employees, make suggestions and inspect the property for maintenance issues and enforcement problems. A written or verbal report is shared with the board of directors as part of the reporting outlined in another section.
- Contracting for Services – To provide all the services necessary to maintain the property the company relies on the knowledge and experience of its employees and a network of contractors and suppliers offering a wide range of services in preparing bids and contracts. These services include day-to-day activities like trash removal, snowplowing, and lawn care to major improvements or rehab projects.
- Supervision – Cedar Management will monitor performance of employees and subcontractors to insure that assigned and contracted duties and responsibilities are being met and that the work is proceeding in a timely and effective manner.
- Annual Replacement Reserve Analysis – Long range replacement schedules will be reviewed or prepared to ascertain the adequacy of reserves to meet future capital expenditures. The long range plan will be reviewed and analyzed regularly to anticipate and effectively plan expenditures.
Response and Enforcement
- Homeowner Calls – We will take responsibility for receiving homeowner calls relating to association matters. An after hour 24 hour phone line is available to respond to emergency situations. In addition a maintenance technician is on call 24 hours.
- Architectural Control and Rule Enforcement – Cedar Management will administer and enforce the rules and regulations and architectural guidelines as set forth in the association documents following the prescribed notices and penalties.
Financial and Administrative
- Annual Budget -An annual budget will be prepared and presented in a timely manner to allow the Board and homeowners to review and discuss the budget.
- Accounts Receivable Cedar Management will provide coupons and envelopes to be submitted with assessment checks. The payments will be deposited in a separate association account. The collection of dues and fees are closely monitored. When fees are delinquent the remedies and sanctions provided by association documents and rules are followed and enforced. Automatic payment from homeowner accounts can be established.
- Accounts Payable We will review vendor and contractor invoices to insure the jobs and services were completed satisfactorily and that the charges are accurate. Payments for vendors will be prepared in a timely manner. Board approval will be obtained in the event any expenditure exceeds a predetermined amount as outlined in the management agreement.
- Bookkeeping – The Company will set up and maintain a data processing system designed to adequately report the financial activities of the association including the preparation income tax returns and other outside reporting requirements.
- Investments We will assist the Board in obtaining investment information to safely maximize the earnings on reserve and excess funds.
- Insurance Program - We will provide the following services:
- Prepare annual specifications and obtain quotes.
- File claims on behalf of the association and assist homeowners with individual claims.
Reporting
- Meeting Attendance We will attend Board of Directors meetings to report on activities and submit financial and management reports. We will also provide advisory services in assisting the board in reviewing association matters.
- Management Report Cedar Management will prepare a written management report outlining the association activities and disclosing information collected in making on site visits, discussions with homeowners, and updates on any maintenance activities.
- Financial Reports A monthly balance sheet, operating statement, and other relevant reports will be submitted at each board meeting. The reports will detail income and expenditures and highlight any budget variations.
